Job Description:

Purpose of the position:

Under the supervision of Administration Coordinator, the incumbent shall provide administration tasks and maintain organised office environment. She/he shall handle communication, incoming external stakeholders and act as a central point of World Vision Lesotho front office desk at the National Office. She/he shall communicate World Vision’s Christian ethos and demonstrate a quality of spiritual life that an example to others.

Key Roles and Responsibilities:

Office Management and Communication (50%)

  • Manages daily front office operations, handles administrative tasks, ensure smooth coordination of meetings, check availability of meeting and boardrooms for events including workshops and interviews.
  • Handles incoming and outgoing calls, welcome and attend to visitors while waiting for appointments.
  • Review monthly telephone bill and apportion it according to user departments.
  • Receive incoming documents and deliver to the respective office for action;
  • Ensure that outgoing correspondence is well captured with timely follow-ups to the respective addressees.
  • Liaise timely with Executive Administrator to confirm availability of the National Director.

Suppliers & Procurement (20%)

  • Consolidate requisitions for office supplies and stationery from all departments for sourcing in provision.
  • Monitor office suppliers in liaison with the cleaning vendors and supervisor to ensure smooth office operations;
  • Receive utilities orders and invoices in the system (provision) to ensure timely payment.
  • Receive all National invoices from suppliers manually and send to Finance for payment

Administration Support (10%)

  • Support the Admin Coordinator to ensure cleanliness is timely maintained across all offices and surroundings.
  • Report security and safety issues that requires immediate attention of management.

• Strong skills in Micro-soft Office Suite (Word, Excel, PowerPoint, Outlook);

• Ability to work under pressure while maintaining positive attitude;

• Ability to maintain organisational and stakeholder’s confidentiality;

• Good understanding of World Vision core values and Mission Statement;

• Must be a committed Christian, able to stand above denominational diversities;

• Attend in daily devotions and perform other duties as required.

Qualifications: Education/Knowledge/Technical Skills and Experience

  • Must have a Diploma in Business Management or equivalent.
  • A Certificate in Customer Care would be an added advantage;
  • At least one-year experience in handling clients/customers with the ability to solve related problems;
  • Ability to be a team player, work independently and engage across all levels of the organization internally and externally.
