JOB DESCRIPTION

Administrative agent

in the Paymaster Office (PMO) of the European Commission

Job title: Administrative Agent
Domain: Anti-Fraud
Where: Unit PMO.SUPCOM (Secretariat of the Supervisory Committee of OLAF)- Brussels
Function Group: FG II
Contract Type: 3a
Express your interest until: 26.11.2025 – 12.00 (noon, Brussels time)

WE ARE

The Supervisory Committee of OLAF was established to reinforce and guarantee OLAF’s independence by
regularly monitoring the implementation of OLAF’s investigative function. The Supervisory Committee delivers
opinions to the OLAF Director General at the request of the Director or on its own initiative concerning OLAF’s
activities without, however, interfering with the conduct of on-going investigations. The Committee is
composed of five independent members, appointed by common accord of the European Parliament, the
Council, and the Commission, having experience in senior judicial or investigative functions or comparable
functions relating to the areas of activity of OLAF. The Committee holds at least 10 (monthly) meetings per
year.
The Secretariat is provided by the Commission, in close cooperation with the Supervisory Committee. The
Secretariat acts on the instructions of the Supervisory Committee and independently from any government or
any institution, body, office, or agency relating to the exercise of the monitoring functions of the Supervisory
Committee. The personnel of the Secretariat work under the management and supervision of the Head of
Secretariat.
Following the amendment of OLAF Regulation 883/2013 by Regulation 2020/2223, a Controller of procedural
guarantees is now administratively attached to the Supervisory Committee. The Controller deals with
infringements of procedural
complaints regarding OLAF’s compliance with procedural guarantees,
requirements and fundamental rights. The Controller exercises its function in complete independence,
including from OLAF and from the Supervisory Committee. The Secretariat of the Supervisory Committee
provides the Controller with all necessary legal and administrative support.

WE PROPOSE

We propose a position of administrative assistant within the Secretariat of the Supervisory Committee. The
duties include standard secretariat tasks, organising the monthly Plenary Meetings of the Committee,
managing the Secretariat’s correspondence and contacts with other institutions and stakeholders, organising
missions and making travel arrangements for the Committee’s members and for the Controller, as well as
financial and web content management.

Meetings and correspondence are mainly inter-institutional, therefore, high-level, and often include handling
of confidential documents. Furthermore, the assistant must handle confidential information that is part of
the complaints dealt with by the Controller of Procedural Guarantees.

WE LOOK FOR

We are looking for a motivated person, able to work with a high degree of discretion and responsibility within
a small and friendly team. The successful candidate should be able to perform in a proactive and
independent way, under the directions of the Head of Secretariat. The post requires a very good command of
secretarial, organisational and communication skills, as well as the ability to prioritise work and to deal, when
necessary, with tight deadlines. Very good computer skills are essential and knowledge of the Commission’s
administrative IT tools would be an asset.
Discretion and awareness of the highly sensitive nature of the work and documents handled by the
Secretariat is required from any person working in it.
The Committee’s and Controller’s working language is English. A good command of French is a strong
advantage. Knowledge of any other language is an asset.
The Secretariat actively promotes a work life-family balance and relies heavily on the commitment and
dedication of its staff. The position is suitable for a degree of teleworking (while regular presence in the
office is expected).
