Job Description (Roles and Responsibilities)

Main purpose of job:

The job holder will provide high level platform support within Corporate Services Section. You will be responsible for implementing good Protocol policies and practices and providing key operational delivery to expedite imports and exports for the British Deputy High Commission (BDHC) office and staff. Additional tasks include BDHC representative when facilitating arrivals and departures of the VIPs at the airport; support to CS team as and when required.

Roles and responsibilities that a jobholder will be expected to achieve:

Protocol: 75%

  • Import and Export of Official and Personal shipments – Prepare Import and Export Permissions before sending to the Ministry for approval. Liaise with designated freight forwarders and Customs for speedy clearance and delivery (this involves use of Government of Pakistan (GoP) online systems – PROSYS and WEBOC);
  • Departure / Arrival briefings to UK based staff – Conduct departure/arrival briefings for UK based staff to help them import/export their belongings to and from Pakistan.
  • Airport Facilitation – Smooth facilitation of the High Commissioner and visiting UK Government Ministers and VIPs arriving and departing from Pakistani Airports. This involves liaising with the airport authorities and airlines.
  • Preparation of Documentation – To prepare miscellaneous documents and cases for the Ministry of Foreign Affairs and other Partners across Government including:
  • Airport Passes;
  • Third Country visas for official visits.
  • Pakistan visas and Accreditation Cards.
  • Understanding movement requests and rules related to movements of diplomats; and,
  • Dealing with other Diplomatic Missions
  • To build and maintain good relationship between the BDHC and various Govt. and other offices i.e. Local and Provincial authorities, Ministry of Foreign Affairs, Civil Aviation Authority, Airport Security Force, Pakistan Customs, Immigration, Utility companies, Airlines and Travel Agencies.
  • Getting tax exemptions and GST claims as and when required

Support the CS Team and Network: 25%

  • Support in raising Purchase Order on the system for Operation related tasks.
  • Provide coverage for team as and when needed.
  • Support in routine procurement of goods and Services for the post through a procurement credit card

Essential qualifications, skills and experience

Essential on arrival:

Graduate calibre and qualified by experience, ideally with relevant post-graduate or professional qualification.

Experience:

  • Minimum 3 years in logistics/transport management
  • Excellent oral and written communication skills in English
  • Excellent working knowledge of MS Office-Word, Excel, Power Point, Intra- Internet, e-mail applications
  • Excellent IT Skills
  • Well organised with ability to demonstrate flexibility.

Language Requirements:

  • Language: Urdu / English
  • Level of language required: Fluent written and spoken

Other benefits and conditions of employment

For BHC candidates, the Country Based Staff BHC Terms & Conditions will apply.

For other than BHC candidates the basic salary will be PKR 152,684 per month. This salary is non-negotiable.

BHC offers a great benefits package that comprises of Annual Domiciliary cover and Medical Insurance Scheme which includes PKR 1,500,000 floater coverage per family for self, one spouse/long term partner and children under the age of 19 or under 23, if in full-time education and not gainfully employed. The Annual Domiciliary cover for day-to-day medical payments is upto PKR 200,000 per family (basis actual bills submission).

Additionally, The British High Commission contributes to a retirement provision in the form of a mandatory provident fund.

FCDO operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
