Context

Under the direct supervision and guidance of the Administrative Specialist incumbent will be responsible for managing, coordinating, all activities related to the establishment of the Country Office in Khartoum. This includes providing support to UNICEF Operations in the coordinate and managing work. The selected individual will play a pivotal role in strengthening coordination efforts across all relevant activities, ensuring coherence, effective time management, work with technical team and alignment with UNICEF standards and national priorities. His/her contribution will be key to enhancing cross-sectoral collaboration and building institutional capacity in the planning, implementation, and monitoring of all related activities.

Key Responsibilities

*Project Planning and Implementation Support
• Assist in the planning and execution of projects related to re-establishing UNICEF’s presence in Khartoum, ensuring all activities are aligned with project objectives, timelines, budgets, and UNICEF operational standards.
• Support development of work plans, timelines, and resource allocations for all components of the project.*Meeting Coordination and Documentation
• Organize, coordinate, and document all project-related meetings, including those with the UNICEF technical team and all relevant team involved in the activities.
• Record, distribute, and monitor action points and follow-ups to ensure timely completion.*Project Documentation and Reporting
• Maintain comprehensive and up-to-date project records, including activities, delivery schedules, and administrative documentation.
• Prepare periodic narrative and financial progress reports for internal use and senior management review.
• Consolidate the reports and submit synthesized updates to ensure timely decision-making.*Risk Management and Troubleshooting
• Identify potential delays, technical challenges, and risks; develop mitigation strategies and escalate critical issues to project leadership.
• Serve as a focal point for resolving technical, operational, and contractual issues in coordination with UNICEF technical teams.*Quality Assurance and Compliance*Cross-functional Coordination
• Liaise with Operations, Supply, Construction, ICT, Admin, and Security teams to ensure integrated implementation of the re-establishment project.
• Ensure project alignment with broader country office operational goals, security protocols, and administrative procedures.*Monitoring, Evaluation, and Reporting to Management
• Develop monitoring tools and track key performance indicators (KPIs) to measure project progress against deliverables.
• Provide weekly and monthly project progress reports to management with summaries of achievements, challenges, and proposed solutions.
• Support internal reviews and after-action reporting to document lessons learned and inform future initiatives.

Required Skills and Experience

minimum of one (1) year of professional experience at the national and/or international levels, in project management, establishing the office”s processes, quality assurance and/or other directly related ones is required, preferably in developing countries.

•Excellent oral and written skills; excellent drafting, formulation, reporting skills.
• Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development;
• Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;
• Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment;

• Sound security awareness.
• Have affinity with or interest in humanitarian volunteerism as a mechanism for durable development, and the UN System.
