The Role

The Senior Learner Administration Officer will be responsible for all aspects of learner administration and coordination of training courses and access bursary applications. The Senior Learner Administration Officer will provide support and a comprehensive range of administrative services to learners and staff of the Pacific Australia Skills including but not limited to, learner services initiatives, learning support and finance, ensuring compliance with Pacific Australia Skills policies and work instructions.

Roles and Responsibilities

  • Ensuring that applicants for access bursaries have submitted the required supporting documentation and that these are recorded appropriately in the Learner Management System and support the Country Office with the implementation of the access bursary services, working closely with Fiji Country staff and the Student Academic Services Team.
  • Ensure that applicants from Fiji, other Pacific Island countries and Timor-Leste are assessed and allocated to classes in a timely and efficient manner.
  • Communicate with learners approved for admission to training courses, distribute correspondence and coordinate with employers for their release for training.
  • Support the Country team with the implementation of learner support services working closely with relevant Country staff and Student Academic Services team to:
    • Ensure learners are covered by appropriate insurance and obtain appropriate visas/ permits as required.
    • Assist with planning for learner demobilizations, ensuring that academic requirements for course completion are met and students are briefed on matters related to re-entry to the workplace.
    • Coordinate learner travel including mobilizing, transiting and demobilizing assisting with passports, entry visas, transfers to and from accommodation and any other support required.
  • Collate information and manage the visa/ permit lodgment process, ensuing that learners are legally permitted in the country till completion of their training and departure back to their home countries.
  • Compute fortnightly stipend for learners and seek necessary approvals for payment of the same.

Selection Criteria

Essential Experience and Knowledge

  • Degree level qualification in related field or post-secondary/TVET qualification with demonstrated extensive work experience preferably in learner administration services, general administration or customer services.
  • Sound understanding and experience working with individuals from diverse backgrounds, specifically adult students.
  • Proven ability to exercise judgement in the application of policies and work instructions.
  • Demonstrated ability to work independently and with others, innovatively solving problems within complex organizational systems.
  • Excellent time management skills, with the ability to manage heavy workloads, maintain accuracy and meet deadlines, ability to work under pressure and capacity to resolve issues with limited assistance.
  • Excellent verbal and written communication skills and demonstrated high level skills in the application of the Microsoft Office suite of programs, particularly Word, Outlook, Excel and PowerPoint.
  • Demonstrated ability to deal with issues of sensitivity and confidentiality.
