STAFF RECRUITED ON CONTRACTS

In addition to permanent officials, the European Commission offers non-permanent positions.. There
are two categories of non-permanent staff:

temporary agents are recruited to fill vacant positions for a set amount of time or
to perform highly specialised tasks.

• contract agents may provide additional capacity in specialised fields where an

insufficient number of officials is available or carry out a number of administrative or
manual tasks. They are generally recruited for fixed-term contracts (maximum 6 years in
any EU Institution), but in some cases they can be offered contracts for an indefinite
duration (in offices, agencies, delegations or representations).

Regional policy is part of the European Union’s Cohesion Policy. It targets all regions and cities in the
European Union to support job creation, business competitiveness, economic growth, sustainable
development, and improvements to citizens’ quality of life. To reach these goals and address the
diverse development needs in all EU regions, almost a third of the total EU budget has been set aside
for Cohesion Policy for the period 2021-2027.

We are the unit for Smart and Sustainable Growth in DG Regional and Urban Policy. We ensure
consistency and coherence in cohesion policy programmes, across Member States and in line with
EU policies (competitiveness, research, innovation, SME support, digitisation, environment, energy,
climate, and transport). We support DG REGIO’s geographical units and authorities in Member
States and regions. We also represent DG REGIO in the interactions of the DG with other
Commission services, EU institutions, international organisations and external stakeholders in these
thematic areas. The unit is composed of two teams: sustainable growth, and smart growth and
connectivity. The unit currently has 27 colleagues.

We are looking for a secretary/administrative agent to work in a team of 3 assistants. Key
responsibility is the administrative and organisational support to the unit, ensuring smooth daily
operations and effective workflow management. Tasks include:

Manage the unit’s functional mailbox, including registering incoming requests, allocating
them to colleagues, and monitoring progress. This is an important function for the unit
as it structures our incoming tasks and helps us meet our deadlines.
Work with various
management, registration, and administrative processes (Sysper2, BASIS, Decide).

Support to the organisation of meetings, conferences, and seminars. Meetings are in-
person and online. Take care of administrative arrangements, book rooms, and support
Teams/Webex or other online platforms.
Liaise with contractors and external stakeholders involved in event organisation.
Arrange and encode travels in the Commission IT system, including booking transport
and accommodation (MIPS IT system).
Manage office supplies and coordinate with relevant services when needed.

We look for a secretary with relevant professional experience in office management.

As you will be working in a team of 3 assistants, we are looking for someone who appreciates
teamwork, is an open communicator and likes having direct contact with other colleagues of the
unit, including team leaders, and management.
As the nature of the unit is very dynamic the ideal candidate is not afraid to multi-task.
Strong English skills, in writing and spoken, are a must.
If you have worked with Commission’s internal IT systems, such as ARES, Sysper2 and Basis, this is a
strong asset.
