JOB DESCRIPTION

Result of Service

The outputs of this assignment consist of: Provide secretarial and administrative support in an accurate and timely manner for the smooth and efficient running of the office. Deliverables: • Draft and finalize correspondence and communications related to all aspects of work for the Director. • Compile information and prepare a wide range of documents and reports using standard software applications (Word, Excel, etc.). • Provide comprehensive administrative and office support, including organizing meetings and conferences and handling logistics for both in-person and virtual meetings.

Duties and Responsibilities

Under the overall guidance of the Director of the Strategy and the Programme Management Division, the Contractor will work closely with other team members of the Division and is responsible for the following duties: 1) Provide comprehensive administrative and office support, including organizing meetings, conferences and handling logistics for both in-person and online meetings. 2) Prepare, draft, and process correspondence and documentation, including proofreading, editing, formatting, and producing complex documents, reports, and communications in line with UN standards. 3) Support reporting and monitoring functions, including assistance in mission reports, meeting assessments, monitoring and evaluation reports, and preparation of statistical and standard reports. 4) Coordinate workflow and ensure compliance, by monitoring processes and schedules, verifying accuracy and completeness of required documents, approvals, signatures, and adherence to financial, legal, and administrative requirements. 5) Conduct research and compile information from a variety of sources to support reports, studies, briefings, work plans, and meeting preparations. 6) Provide general secretarial and administrative assistance, including note-taking, tracking deadlines, and supporting official travel and visa arrangements as required. 7) Perform general secretarial and administrative tasks as assigned.

Qualifications/special skills

High school diploma or equivalent. University degree is desirable. 2 years of work experience in administrative and/or secretariat field, including organizing both virtual and physical meetings. Competency in Microsoft Office is desirables. Experience in using Enterprise Resource Planning (ERP) systems such as Umoja is desirable.

Languages

Fluency in spoken and written English is required.
