Key Responsibilities:

Nationals

  • Support new hires with completing onboarding forms correctly, addressing queries and ensuring proper filing in HRIS and personal records.

  • Prepare workstations, system access and prior to arrival for the National Office, and communicate effectively with area program team for the same support. Communicate and liaise with ICT and relevant department or teams for this support.

  • Coordinate travel, accommodation and arrange per diem for all relocating staff and ensure they are settled well in their work location

  • Liaise and communicate with project teams and supporting departments for the relocation of staff to new work locations

  • Conduct checks-in the first x90 days to ensure staff has settled in well and support with any pending issues/concerns

  • Collect feedback from new hires to improve onboarding experience

  • Coordinate travel, accommodation, and per diem for staff relocating to work locations.

  • Continuously review the onboarding process and suggest improvements

Expatriates

  • Manage visa and work permit applications, renewals and cancellation in line with local labor and immigration rules and regulation

  • Communicate effectively and support international assignees with application preparation, resolve queries and ensure all documentation is in order for lodgment.

  • Liaise with government authorities and external agencies for expatriate documentation

  • Communicate effectively with IAs of application status

  • Maintain accurate records of visa and permit status for all international staff

  • Maintain a calendar for work permit and visa expiry dates and initiate renewals proactively.

  • Build and maintain relations with PNG immigrations and relevant authorities for smooth processing

  • Liaise with appropriated support departments for short- and long-term accommodation upon arrival

  • Ensure timely cancellation of work permit and visa upon contract expiration

Other Support

Labor Distribution Record (LDR) Encoding

  • Support the monthly Labor Distribution Record in the HRIS system, ensuring 100% completion rate

  • Send monthly LDR reminder emails to all staff by the 31st of each month.

  • Share Finance LDR reports by the 15th of each month.

  • Ensure all project and department codes in Workday are current and up to date.

  • Provide full support to staff and managers on all LDR-related queries in Workday.

  • Generate, validate, and share LDR reports for finance teams and relevant teams.

  • Support with absence management

  • Supporting with any related queries to the LDRs

  • Other Support

  • Support recruitment team with scheduling interviews, as and when requested

  • Support HRIS with data management

  • Support P&C Manager and Director with other assigned tasks
