Result of Service

February 2025 – Output Deliverables • Prepare 3 ToRs for upcoming event, identify vendors, and review quotations/invoices for upcoming activities by 20 Feb 2025. • Organise logistics for meetings, field activities, and trainings sessions (venue, hotels, transport) by 28 Feb 2025. • Submit meeting notes, attendance lists, and at least two communication materials by 28 Feb 2025. March 2025 – Output Deliverables • Provide logistical support for March trainings, including venue setup, registration, and DSA roster preparation, by 25 Mar 2025. • Distribute and collect training evaluation forms and upload them by 31 Mar 2025. • Conduct follow-up to ensure an 80% survey response rate, updating M&E tools by 31 Mar 2025. • Prepare administrative documentation for April activities (ToRs, reservations, vendor identification) by 31 Mar 2025. • Submit meeting notes, event summaries, and updated filing records by 31 Mar 2025. April 2025 – Output Deliverables • Organise logistics for April missions (hotel bookings, transport, mission packages) by 15 Apr 2025. • Support field visits for ITC staff/consultants and ensure delivery of all required materials by 30 Apr 2025. • Upload all training evaluation forms and update M&E datasets by 25 Apr 2025. • Review quotations and invoices and prepare procurement files for May activities by 30 Apr 2025. • Maintain filing systems, respond to stakeholder queries within 3 working days, and submit documentation for all April activities by 30 Apr 2025.

Duties and Responsibilities

The International Trade Centre (ITC) is the joint agency of the World Trade Organization and the United Nations. The ITC assists developing and transition countries and micro, small, and medium-sized enterprises (MSMEs) to take advantage of expanding trade opportunities in an increasingly complex global environment. The Green and Inclusive Value Chains (GIVC) section is a part of the Division of Sustainable and Inclusive Trade (DSIT), focused on catalysing sector-wide transformation and private sector competitiveness through sustainable practices. The GIVC strives to improve market linkages and enhance climate resilience, food security, and sustainable standards and market systems. Our work empowers MSMEs to grow sustainably and responsibly, while promoting a greener, more inclusive global economy. The STAR project is a four-year project financed by the Korea International Cooperation Agency (KOICA) and implemented by the ITC. The project aims to increase the resilience to natural disasters and competitiveness of producers and MSMEs in ten districts in Northern and North-Eastern Uganda. The STAR project focuses on three value chains, namely cassava, shea, and oilseed. The project will work with all actors along the value chain, including farmers, processors, traders, and service providers, to build their capacity and enhance their resilience and competitiveness. The outcome will be achieved through the implementation of the following 4 outputs: • Output 1: Capacity of producers and SMEs to become more competitive and resilient to natural disaster risks increased. • Output 2: Community based disaster risk management structures enhanced. • Output 3: Service offering of Business Support Organizations (BSOs) and other service providers to build SME natural disaster risk resilience and competitiveness improved. • Output 4: National strategies and policies to improve the natural disaster risk resilience and competitiveness of target agricultural value chains strengthened. The project uses a gender-responsive approach to support the inclusion and increased benefits for women the value chains. By building partnerships with national institutions and service providers (private sector), the project creates lasting change within the business eco-system, enabling MSMEs to continue benefiting from trade beyond the time frame of the project. For administrative, logistical and coordination related needs, the project is seeking to engage a part-time project assistant to support with project implementation. Description of Duties/Responsibilities The project assistant will provide administrative services for the implementation of the project under the supervision of the Programme Operations Lead, under the overall supervision of the project manager based in Geneva. The project assistant shall dedicate a total of 10 days each month to fulfil their assigned duties and responsibilities. The project assistant will be responsible for the following duties: • Provide logistical support for field activities, events, and training programmes, including venue setup, participant registration management, and coordination with hotels to ensure timely delivery of required services. • Support ITC staff and consultants in delivering project trainings by ensuring that all necessary materials are available, facilitating field visits where required, and managing the distribution and collection of training evaluation forms. • Assist ITC staff and consultants in conducting coaching sessions by scheduling online meetings and following up with non-responsive participants. • Perform general administrative tasks such as preparing Terms of Reference (ToRs), identifying vendors, obtaining and reviewing quotations and invoices, among others. • Assist in reviewing financial reports and supporting documents for STAR project grants provided to SMEs. • Support monitoring and evaluation (M&E) activities, including transcribing offline data, following up with survey respondents, and updating M&E tools. • Contribute to the preparation of activity-related documents such as meeting notes, attendance lists, and event reports. • Provide general office assistance to the project, including responding to stakeholder and beneficiary queries, supporting project staff, and maintaining an organized filing system for key documents. • Assist in the development and refinement of communication materials, including meeting notes, social media posts, newsletters, and other relevant documents. • Undertake other ad hoc administrative duties as assigned by the project team. Copyright Clause: The consultant has to ensure that she has obtained the necessary permissions with regard to intellectual property rights required to perform her services under this consultancy contract and for the subsequent dissemination by ITC in any form. Documentary proof is to be submitted to ITC. Should any license fee be due for the use of copyrighted materials of third parties, the consultant shall request the prior written permission from ITC. Qualifications/special skills

Completion of high school A minimum of 3 years’ Experience in administrative, events logistical and coordination roles. Experience in the implementation of disaster risk resilience, MSME trade competitiveness projects, or related, is desirable. Skills ● Ability to coordinate with various partners and increase outreach to stakeholders ● High motivation and commitment to the project and its deliverables ● Computer literate in MS office applications (mostly Word and Excel) ● Excellent oral and written English communication skills
