Job Summary
This is an expedited recruitment process open only to: a) Internal candidates, and b) Former IOM staff members who were separated within the last 12 months due to the structural adjustment process. This process is not open to external candidates; applications from external applicants will not be considered.
Key Responsibilities
- Act as the quality control and compliance focal point for the FAP Programme and assist in day-to-day quality control monitoring of visa applications and FAP activities. Support the development and implementation of Standard Operating Procedures (SOPs), as needed.
- Oversee and undertake compliance activities in operations, including project monitoring and evaluation, training, reporting, project support and/or protection, and activities related to the implementation of Interview Guidelines.
- In close coordination with the National Programme Coordinator (FAP), assist in the design and implementation of assessments, surveys, and other tools pertaining to Program Integrity Guidelines. Ensure accurate collection, entry, safeguarding, and reporting of data.
- Ensure FAP internal software is updated with applicants’ data and oversee processes such as visa exit permits through quality check (QC) measures.

Support monitoring and evaluation activities, including planning, designing mechanisms (surveys, interview protocols), administering surveys/interviews, analyzing data, and reporting findings.

Oversee protection activities related to vulnerable beneficiaries, including providing training, drafting SOPs and tools, monitoring implementation, reporting on at-risk cases, and liaising on relevant issues.
- Ensure questionnaires filed with visa applications are accurate and in compliance with donor requirements and report any quality issues immediately.

- Oversee the provision of correct information and proper completion of application forms and questionnaires, while reviewing applications with supporting documents. Manage applicants’ case files and medical records, including creation, distribution, return, re-filing, tracking, scanning, and preparation for submission to the Embassy.
- Oversee the organization and scheduling of appointments, including creating reports, updating schedules, issuing notifications, confirming appointments, interpretation services, and logistical duties related to circuit rides. Liaise with serviced units to ensure communication and satisfaction.
- Assist with report preparation and data management by preparing statistical and thematic reports as required and regularly suggest improvements for efficiency and service. Utilize reports and conduct regular QC of case files and data in FAP internal software to ensure accuracy and compliance with SOPs, and that processing pipelines are efficient.
- Liaise with other IOM Teams and external partners, including UN agencies and the German Embassy/Consulate, for referral and case management of vulnerable applicants and expedited appointments. Prepare unit statistics and report regularly on activities, problems, and solutions.
- Ensure capacity building of Programme Associates and technical support to other FAP Country Offices as needed to apply SOPs and guidelines, manage refugee and potential hardship cases, conduct interviews, schedule appointments, update FAP software, validation of interview reports and conduct quality assurance of files and case data. Oversee case management teams and activities.
- Provide logistical and administrative support during the set-up period, including communication with Administration Units regarding PRs, POs, RFPs, managing documentation archiving and inventory.
- Perform other duties as may be assigned.

Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint. Good knowledge of information technology and proficiency in Microsoft Office applications, especially Excel, Word, PowerPoint and Publisher.

Languages
IOM’s official languages are English, French and Spanish.
