About the Program:
WRI’s Polsky Center for the Global Energy Transition speeds up the transition to a low-carbon, inclusive energy future by helping to build clean energy markets and change institutions. The U.S. Energy team focuses on the US energy transition and decarbonization of the power sector, with a focus of working with local and state governments, large energy buyers, utilities, regulators, NGOs, and others.
Our team accelerates the deployment of clean energy technologies by addressing barriers, replicating successful models, and supporting policies or programs to accelerate adoption and achieve 100% clean energy in the power sector. WRI also undertakes research to support action, covering approaches to: overcoming barriers to clean energy development, expanding wholesale markets and the grid to enable the energy transition, accelerating electrification, and meeting the demand for critical minerals while protecting people and nature.
We focus on removing market and institutional barriers to clean energy deployment through efforts to enable state and local stakeholders to advance clean technologies in light of current context, including growing electricity demand and the changing policy environment. We also lead initiatives under the Polsky Energy Center to address large buyer demand and load growth, siting, critical minerals and circularity and enabling grid expansion WRI integrates equity and social justice concerns into its work to ensure the clean energy transition benefits all.
Job Highlight:
As the Program Coordinator, you will provide operations, administrative, and financial support to WRI’s US Energy Team. You will provide logistical support and administrative coordination for team events (virtual and in person), along with administrative support to the US Energy Director. You will maintain the team’s budgets to guide project implementation, monitor spending in compliance with funder terms and WRI policies.
This position also provides opportunities to collaborate on larger projects that span multiple project teams across the US Program and Global Polsky Energy Center.
You will report to the US Energy Team’s Operations Manager. You will be supported by the US Energy Team & US Program Operations and Management teams.
Administrative Coordination (40% time)
Assist the Program Director with scheduling and administrative tasks. Ensuring that high-priority requests are completed and relevant staff are looped into decision-making.
Provide administrative support to Program Director, including managing calendars, scheduling appointments, making travel arrangements, securing travel visas, and drafting correspondence
Ensure effective internal coordination by arranging internal meetings, preparing agenda items, and taking notes
Create and maintain internal knowledge repositories, files, datasets, organizational charts, and notes for the US Energy program to improve internal knowledge sharing and organization
Coordinate logistics (including venue, catering, equipment/AV, and materials), for virtual and in person project meetings, events, and retreats. This includes preparing slide decks and note-taking. Ensuring all WRI funder policies are followed.
Collaborate with the US Program and Energy Center on large event logistics
Guide staff and participants on travel logistics and provide direct travel support to the program director
Update web and intranet sites and review for out-of-date information
Support ongoing efforts to improve the US Program”s administrative systems and processes, including coordinating to avoiding duplication of efforts
Own new hire onboarding process. In coordination with the hiring manager to ensure new staff are added to WRI systems and have the resources necessary to begin work.
Budgeting and Financial Management (30% time)
Update and maintain project budgets using WRI’s budgeting and forecasting software to guide project implementation
Coordinate and assist the team on budget management. Under supervision, prepare budget review templates for review with project managers.
Follow WRI’s internal processes and deadlines related to funding and expenses, including preparations for quarterly reviews, monthly & annual closeouts, and fiscal year forecasting.
Maintain up to date knowledge of WRI’s finance and accounting policies to be able to keep project staff informed of current policies and regulations.
Prepare and monitor expense reports and timesheets to ensure timely submission and approval
Grants and Contracts Management (30% time)
Ensure that the US Energy Program complies with funder-specific and WRI financial requirements and best practices.
Assist in tracking contract deliverables to ensure that they are submitted within the period of performance and coordinate the submission of invoices.
Prepare and maintain sub-grant and contract agreements with partners and contractors, and ensure timely and accurate collection of progress and financial reports.
What you will need:
Education: You have a completed bachelor’s degree, preferably in a relevant field.
Experience: You have a minimum of 1-3 years of full-time work experience relevant to the job description.
Experience with grants management, Salesforce or a similar CRM system, Asana, non-profit operations, non-profit development, budgeting software, and/or Microsoft Excel is a plus.

Requirements: Existing work authorization is required where this position is based. WRI is unable to authorize visa work authorization.
Salary:
US salary range is between USD $57,000 – $64,000; Salary is commensurate with experience and other compensable factors.
