The International Energy Agency (IEA) is an intergovernmental organisation committed to advancing security of energy supply, economic growth and environmental sustainability through energy policy co-operation. The IEA operates as an autonomous body within the framework of the Organisation for Economic Co-operation and Development. The IEA Communications and Digital Office develops and implements the Agency’s communication strategy across its digital platforms. It is responsible for the production and dissemination of IEA data and analysis, and oversees the Agency’s digitalisation strategy, public relations and social media.

The IEA is looking for a Sales Administration Officer to support Product Strategy and Sales (PSS) Unit under the Executive Director’s Office (EXO) which oversees the IEA data and publication sales and product strategy, including licensing and compliance policy. The Sales Administration Officer will report to the Sales Manager and will be responsible for sales administration.

The Sales Administration Officer is a crucial member of a small team (PSS Unit). the position is an on-site role based in Paris.

Job Description

Main Responsibilities

As a member of the Sales Team, the incumbent is responsible for:

Sales Administration and Management of the IEA webstore

Assist in the management of the webstore: handle incoming orders, issue invoices, monitor customer database (CRM, Webstore)

Ensure high quality customer service by responding to general requests, inquiries and claims. Maintain good working relations with all customers.

Assist with the upload of products on the webstore. Liaise with other IEA services (authors, Publications, Press, Web)

Payment Tracking

Registration of payments received in the OECD financial information system (SAP), validation of the payments in the Webstore, in liaison with the OECD Accounts Department (PBF).

Follow up with clients on pending invoices

Data Licensing and Compliance Policy

Assess customer needs and apply IEA data compliance policy for certain IEA products

Negotiate licence agreements with customers and draft contracts in collaboration with IEA legal office

Reporting

Prepare the quarterly financial reporting

Creation of ad-hoc analytical reporting on sales activity, update of sales metrics/statistics

Qualifications

Ideal Candidate Profile

Academic Background

Higher education diploma (BA/Bsc or equivalent,.) in a relevant discipline/area.

Professional Background

Experience in administrative tasks and processes, ideally in marketing and/or sales in data/information services

Strong organizational skills and ability to work independently as well as a team

Strong customer focus with ability to support conflicting priorities

Ability to exercise tact, courtesy and diplomacy when working with internal stakeholders

Knowledge of digital communication, e-commerce

Ideal but not required: interest in the energy sector or a related technical field (environment, technology, etc.)

Ideal but not required: experience in a public institution or international organization that sells publications or data.

Tools

Good knowledge of CRM and Sales platform and/or other IT/web platforms

Very good proficiency in the use of Excel/Power BI or other tools.

Core Competencies

Languages

Fluency in English, and very good level in French. Knowledge of other languages would be an asset.

Contract Duration

This vacancy will be used to fill multiple positions. The appointment type will be determined based on the needs of the Directorate and will be confirmed when an offer of employment is made to the selected candidate (for reference, the IEA usually offers 24-month employment contracts with the possibility of renewal).

What the OECD offers

Monthly salary starts at 4 422.72 EUR, plus allowances based on eligibility, exempt of French income tax.
