The Position:
The Operations Clerk / Driver will provide reliable and safe driving and Operational services to UNFPA staff and mission ensuring the highest standards of discretion and integrity, sense of responsibility, awareness of diplomatic protocols and prevailing security conditions.
You will report directly to the Administrative Associate.

Job Purpose:
Providing reliable and safe driving services, you will uphold the highest standards of discretion and integrity; have a deep sense of responsibility, and excellent knowledge of protocol and security issues. You will demonstrate a client-oriented approach, courtesy, tact and ability to work with people of different national and cultural backgrounds.
You would be responsible for:
- Ensures provision of reliable and safe driving services for UNFPA staff, experts on mission and high-ranking officials and visitors
- Meets and assists UN visitors at the airport providing them with VIP treatment by ensuring their visas is valid, their luggage are received and transport them to the requested destinations;
- Requests the opening of VIP lounges for high ranked officials and for transporting arrangements during their visits as required;
- Keeps abreast of traffic , road , security and safety awareness to enable safe and on time arrival for meetings;
- Ensures cost-savings through proper use of vehicle, accurately maintains daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.
- Ensures proper use of vehicle maintenance plans and assistance in preparing vehicle history report
- Ensures proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes and water levels, car washing, etc so that the vehicle is kept clean and in good running condition at all times;
- Ensure availability of all the required documents/supplies including vehicle insurance, vehicle registration, vehicle logs, office directory, and map of the city/country, first aid kit, and necessary spare parts in the assigned vehicle.
- Ensure that the steps required by rules and regulations are taken in case of involvement in an accident
- Arrangement for registration of new vehicles including comprehensive and third party insurance.
- Collaborates and liaises with the respective Government authorities to obtain the proper inspection required to release the CO shipments;
- Delivers and follows up on requests submitted to MOFA for vehicles, procurement, privileges, Immigration formalities;
- Prepares, submits, and completes all official documents required for custom clearance to clear and receive all CO overseas procurement such as RH commodities, vehicles and IT equipment
- Submits, follows up and finalizes requests for the disposals of the official vehicles with MOFA, local traffic department, and customs administration;
- Follows up on submitted requests on behalf of the staff with the respective embassies, MOFA and MOI;
- Submits requests for TAX free purchases for UN Expats;
- Delivers and collects mail, documents;
- Collects vendors and utilities checks from UNDP when required and deliver to the office for distribution to respective beneficiaries;
- Keeps track of insurance and other tax formalities;
- Provision of clerical assistance to the Administration Unit for registry-related and administrative work.
- Provides guidance and coaching to junior drivers as necessary;
- Performs other tasks as assigned by the supervisor.
Qualifications and Experience:
Education:
- Completed Secondary Level Education,
Knowledge and Experience:

Valid driver’s license.

Three years’ work experience as a driver in an international organisation, embassy or UN system with a safe driving record.

Knowledge of driving rules and regulations, chauffeur protocol and courtesies, local roads and conditions, and defensive driving skills.

Skill in minor vehicle repairs.

Some Computer skills are required such as using MS office and Gmail applications
