Position Title: Operations Coordinator PROJECT: Building Safe Agricultural Food Enterprises (B-SAFE) Reports to: Finance and Operations Manager LOCATION: Quezon City Position Summary: The Operations Coordinator will provide administrative support in day-to-day office management including procurement and asset inventory. This position will also provide logistical assistance in the planning of the project’s capacity development activities and events. ESSENTIAL Responsibilities: Support to Project Activities Coordinate with technical team to maintain a calendar of upcoming trainings and events to ensure adequate and timely support from the operations team. In coordination with the technical team, provide assistance on the applicable logistics requirements for B-SAFE events and capacity development activities including organization of meetings, packaging of training kits, and documentation of training activities and related events. Procurement and Logistics Support Manage and process project procurements in accordance with USDA rules and regulations and Winrock procedures and policies, including coordination of purchase requisitions, preparation of requests for quotation documents, receiving and reviewing of quotes, evaluations and selection recommendations, due diligence, and preparation of purchase orders. Coordinate with technical and operations team on developing project-wide annual procurement plans. Assist in organizing staff travel such as airline/bus and hotel booking for domestic travels. Maintain sound records of all vendors and procurement documents and transactions. Maintain a database of all B-SAFE procurement contacts. Asset Inventory Update and maintain inventory records, identify discrepancies, and recommend reconciliation actions in consultation with the Finance & Operations Manager, and report to Home Office. Conduct periodic physical inventory count of project assets. Finance Transactions Review vendor billings and staff liquidations/reimbursements of travel and other project expenses. Assist the project Accountant in compiling documents for monthly reports, billing, and other finance matters. Serve as the Petty Cash Custodian. General Administration Ensure project operations contracts such as office lease contracts are up-to-date. Assist in the day-to-day office operations, including the occasional delivery/sending of documents, routing of applicable documents to staff, and meeting with suppliers and service providers. In-charge of office upkeep. Perform other duties as assigned MINIMUM QUALIFICATIONS Bachelor’s degree in Management, Business Administration, Communications, or related field Minimum 2 years’ experience in administrative management and project operations, including procurement. Experience in working on international development projects, experience with USG funded or USDA projects preferred. Knowledge, Skill & Ability Requirements: Ability to work in team and have good interpersonal communication skills. Strong attention to detail Good Microsoft Office skills (Word, Excel, Outlook, Teams). Has good office organizational skills Excellent written and spoken English skills.
