The Registry/Administrative Clerk works in close collaboration with the Operations, Programme and projects staff and other UN agencies staff to exchange information and ensure consistent service delivery.
Under the guidance of Operations Manager and direct supervision of the Head of Administrative Services Unit, the Registry/Administrative Clerk provides support to office operations performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Registry/Administrative Clerk promotes a client, quality and results-oriented approach.
Duties and Responsibilities
• Receive and handle all incoming/outgoing correspondence, UN pouch and ensure their proper registration and filing; Register and forward mail/messages by using Email and an electronic filing system and/or the HP digital sender for computerized filing;
• Keep the chrono files of internal circulars and files pertaining to specific series in line with UNDP consolidated file list and standards; Filing relevant documentation in Office intranet
• Collect and assist in cost recovery information on services provided by the Unit to the UN Agencies/Projects and pass on information to the finance assistant for applying the relevant charges;
• Review and apportions charges for fuel consumption bills/ telephone/mobile bills including long distance calls and in charge of the PBX telephone charging software and its follow up related to cost recovery for personal, programs/projects and UN Agencies; Prepare payment requests for fuel consumption, landline/mobile phone and others as required
• Maintain and monitor jointly with ICT Manager monthly or periodic telecommunication subscription fees to ensure smooth operation and prepare payment requests; Maintain and monitor monthly or periodic removal of garbage from UNDP CO and prepare payment requests;
• Receive and handle all incoming telephone calls, updating the UNDP/UN telephone directory; Take part in discussions on improvements of registration of office correspondence taking into account registration rules and needs of office units;
• Arrange hotel booking for international missions, maintain hotel database; Assist to Head of Administrative Services and Finance Unit in preparing DSA Survey; Assist to Administrative Assistant in logistic/travel arrangements if required;

Secondary Education is required.
Or Bachelor’s degree in Social Science, Business Administration, Philology or related area and minimum of 1 year of relevant experience in administration, logistics, and office management.
A minimum of 4 years of of proven experience in administration and/or logistics, office management and relevant field if secondary education.
Or 1 year of relevant experience in administration, logistics, and office management if Bachelor degree.
Work experience with UN agencies or any other international development organization is an advantage.
