JOB DESCRIPTION

The International Potato Center (CIP) is looking for two (2) dynamic Administrative Assistants III with excellent organizational skills to provide support to support the Department operation. About the position: Assist and support the Science Leader/Manager/Supervisor and team members in a wide range of administrative, financial, and general support duties of a highly responsible and confidential nature to guarantee smooth flow and effectiveness of Program/ Department’s operations. Requirements Organize and maintain updated Department’s official correspondence, communicate, and handle incoming and outgoing electronic communications to follow up on pending matters with limited direction. Organize and arrange national and international travels (registrations, itineraries, hotel reservation, airport transfers, visas, insurance, meetings preparations and liquidation of travel expenses). Ensure all the arrangements for (travel and lodging) national and international Travels are made and provide assistance to ensure all the arrangements (travel and lodging) and travel matters are being followed correctly and aligned to operational policies. Coordinate and update calendar unit leaders, requiring interaction with both internal and external collaborators to coordinate meetings. Coordinate logistics of virtual events held by the unit when needed. Assist in the organization of in person events, workshops, visits, and trainees within the unit leads (coordination with counterparts around the world). Use of CIP’s internal system to process requisitions in general and payment of invoices on a regular and timely basis. Facilitate the preparation of technical and financial reports and documents; prepare background documents and outgoing mail as necessary to speed flow of process. Track and support coordination of unit leads with other units (Administration, Grants and Contracts and Program Management) Coordinate all kinds of transportation needs: deliver or collect electronic equipment or transport materials to experimental stations. Coordinate purchase office supplies and keep inventory updated. Coordinates issues of furniture and equipment with relevant units (Facilities, IT, Security, and other)
