This position is located in the Office of the Assistant Secretary-General for Supply Chain Management (OASG OSCM) in the Department of Operational Support (DOS). The Department of Operational Support was established to provide end-to-end operational support, advisory services and other solutions to operating entities across the Secretariat, including other departments, Offices Away from Headquarters, field missions, and regional commissions. The Office of Supply Chain Management includes the Office of the Assistant Secretary-General for Supply Chain Management, the Logistics Division, the Procurement Division, the Uniformed Capabilities Support Division, Global Service Centre, Aviation Safety Section and the Enabling and Outreach Service. The Administrative Assistant reports to the Special Assistant under the overall direction of the Assistant Secretary-General for Supply Chain Management (ASG OSCM).
Responsibilities
Within limits of delegated authority the Administrative Assistant will assist in administrative support of the OASG OSCM in particular in managing priorities and workflow of the Office. The incumbent will be responsible for the following duties: General Administration • Performs the functions of a Personal Assistant in the absence of an incumbent, e.g., performs administrative activities; maintains the ASG’s calendar and schedule of appointments; coordinates preparation of relevant background material and documents for meetings and conferences in which the ASG is involved, and communicates information to appropriate participants. • Ensures the smooth flow of correspondence to and from the OASG; reviewing and entering into a database all incoming mail, bringing urgent matters to the ASG’s attention immediately, with background documentation. • Maintains, organises, and manages meetings, seeks and reviews inputs for reports ensuring to meet deadlines for completion of requested tasks; collate and review inputs for briefing notes/talking points, follow-up on implementation of action points; draws the attention of the Special Assistant to upcoming/pending deadlines. • Prepares, processes, and follows-up on administrative arrangements and forms related to the official travel of staff. • Drafts, reviews and proofreads correspondence submitted for the signature of the ASG for accuracy, grammar, punctuation and style and for adherence to established standards of format. • Maintains files of rules, regulations, administrative instructions, and other related documentation. • Maintains up-to-date work unit files (both paper and electronic). • Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field. • Performs other related administrative duties, as required, e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating administrative arrangements for seminars, conferences and translations. Human Resources Management • Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the human resource activities of the Office, including recruitment, performance appraisal, job classification reviews, training, and ensuring consistency in the application of regulations and procedures. • Enters, maintains, and certifies administrative data and records for time and attendance in electronic information systems. • Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with central administrative services as necessary. • Maintains and reviews organizational staffing tables and other related Business Intelligence (BI) reports. Budget and Finance • Monitors status of expenditures and allotments through Umoja, records variations, and updates budget tables. • Consolidates data received and provides support to higher-level staff with respect to budget reviews of relevant intergovernmental and expert bodies. • Reviews status of relevant expenditures and compare with approved budget. • Reviews requisitions for goods and services to ensure: (a) correct objects of expenditure have been charged, and (b) availability of funds. • Assists in the preparation of budget performance submissions.

Work Experience
• A minimum of five (5) years of experience in administrative services, finance, accounting, audit, human resources or related area is required. The minimum years of relevant experience is reduced to three years for candidates who possess a first-level university degree or higher. • Experience in managing incoming/outgoing correspondence, confidential documents and sensitive information is required. • Experience in the use of enterprise resource planning (ERP) systems, Microsoft Office and SharePoint or similar document management systems is desirable. • Experience in sourcing, cleaning, and preparing data, and developing visualization/metrics that enable easy communication/interpretation by the user is desirable. • Experience working in a front office for a senior official and to support functions, including performing functions of a personal assistant is desirable. • Experience working with a multidisciplinary team is desirable. • Experience in coordinating travel arrangements for senior officials is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
