JOB DESCRIPTION

Background

On the ground in about 170 countries and territories, the United Nations Development Programme (UNDP) works to eradicate poverty while protecting the planet. We help countries develop strong policies, skills, partnerships, and institutions so they can sustain their progress.

In Viet Nam, the Government and UNDP partnership officially started in 1978. Since then, UNDP has been working closely with the Government and other partners to expand the choices for people and ensure that everyone has equal access to opportunities to realize their full potentials.

The current Country Programme (2022-2026) contributes to three inter-related outcomes of the One UN Strategic Plan for Viet Nam, aiming to address poverty and inequalities; enhance citizen participation and protection of rights; as well as promote sustainable low- carbon development while strengthening resilience of the targeted groups.

Duties and Responsibilities

Support to Deputy Resident Representative

  • Support day-to-day management of project portfolio, partnership building, representations, innovation, and any other activities needed.
  • Work out new ideas, write draft concept notes, prepare presentations, collect information, maintain and update relevant databases, and conduct basic research on current development topics.
  • Arrange and attend meetings and appointments with team members and counterparts, prepare and manage pre-meeting supporting documents (briefing notes, speeches, etc.), post-meeting meeting minutes, action points, and correspondence (thank you letters, follow-up emails, etc.), provide informal translation and interpretation, and, where needed, other relevant tasks.
  • Follow-up and coordinate with teams in the office and ensure timely actions are taken.
  • Manage and update Document systems, including MS SharePoint, UNITY, etc.
  • Other task related to day-to-day management.

Support to the ODA Taskforces

  • Participate in and contribute to the United Nations Country Team internal taskforce, United Nations – Ministry of Planning and Investment national staff taskforce, Development Partners Group taskforce on Official Development Assistance (ODA) matter and relevant issue.
  • Attend taskforce meetings, prepare necessary supporting documents, write meeting notes minutes, action points, and where needed, provide informal translation.
  • Report on the working results of the taskforces to and follow up with relevant team members. Update relevant news relating to legal and regulatory framework in Viet Nam.
  • Liaise with relevent team members, internal staff, and external counterparts to arrange meetings, update information and coordinate tasks.

Support in Health Procurement and Government Financing coordination

  • Support the research on the regulatory framework for public procurement and look for entry-points, opportunties for Health Procurement and Government Financing in Viet Nam.
  • Attend meetings and events with teams and counterparts, write meeting notes, action points, and, where needed, provide informal translation and interpretation.
  • Coordinate and follow-up with team members on emerging tasks and ensure timely actions are taken.

Support to the general Operations and Administration of the office.

  • Work with team members to support operational and administrative tasks for project management.
  • Liaise with teams to support the organization of office events.

Competencies

  • Fluent English and Vietnamese, both written and verbal — the deliverables must be presented in either or both languages according to the audience;
  • Strong interpersonal skills, able to communicate and work with diverse people; Participate effectively in team-based, information-sharing environment, collaborating and cooperating with others;
  • Proven track record of experience volunteering or working with NGO/CSO is an advantage;
  • Excellent ability to use basic computer software (Word, PowerPoint, and Excel) is required. Basic web image, layout and design, and video editing ability will be an advantage;
  • Tactful and responsible, able to keep information confidential;
  • Able to analyze and think strategically.

Required Skills and Experience

Intern at the time of application must meet one of the following conditions:

  • Be enrolled in a postgraduate degree programme (such as a master’s programme, or higher);
  • Be enrolled in the final academic year of a first university degree programme (such as bachelor’s degree or equivalent)
  • Have recently graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation;
