JOB DESCRIPTION

Purpose of the role

The purpose of the Human Resources Officer position is the implementation of delegated area of responsibility of HR responsibilities under the Beirut Country Office according to the Plan of Action. The position holder will be supporting the HR in the day-day implementation of all NRC policies and guidelines, systems, procedures and tools with focus on contracts management, personnel data management, general personnel management, data entry and reporting, filing and documents management, time and attendance, and entry and exit

What you will do

  1. Ensure adherence with NRC policies, tools, systems, handbooks, and guidelines.
  2. Implement delegated HR function portfolio according to plan of action.
  3. Prepare and develop monthly HR status reports as required by management.
  4. Update staff records and files on a regular basis.
  5. Generate monthly records and reports.
  6. Support with audit requirements.
  7. Ensure proper filing of documents.
  8. Promote and share ideas for improvement of the HR function.
  9. Ensure that NRC’s related activities are implemented within NRC’s Protection mainstreaming guidelines and report any breaches/concerns to the line manager and/or focal point for proper action.

Specifically you will;

  • Prepare, proofread, and administer contracts and the renewal letters for all NRC Lebanon National staff, and ensure that all documents required are received, valid, and properly filed.
  • Prepare and proofread employment letters, work certificates, ID cards, and any other forms or templates needed or requested by staff or HR Management.
  • Ensure that staff Entry and Exit Procedures/checklists are well established and implemented.
  • Ensure that the HR system (NRC People) and all relevant tracking sheets are always updated, and that data is verified and entered accurately and in a timely manner.
  • Coordinate with the Line Manager on all HR requests coming from field HR/and other departments and ensure findings and results are communicated in a timely manner.
  • Assist in the enrollment in NSSF and Insurance packages of all staff members with proper support in related inquiries.
  • Provide ideas and suggestions to improve the workflow and come up with proactive ways to ensure the work is always timely and error-free.
  • Carry out other HR related activities as requested.
  • Promote NRC’s expected organizational behavior and culture among staff in terms trough awareness/induction sessions.
  • Follow up and ensure proper implementation for NRC Terms of Employment and all related policies including leaves, holidays, allowances and benefits, and others.
  • Generate and prepare monthly timesheets for all staff and leavers and provide auditors with the requested timesheets.
  • Generate and follow up on monthly staff attendance and update records.
  • Ensure continuous filing/archiving of all related forms, templates, documents, and legal papers in their respective files (hard & soft) as per filling tree guidelines.

Professional competencies

  • Bachelor’s degree in Human Resources, Business Administration, or any other related field.
  • Minimum 2 years of relevant experience in handling Human Resources function.
  • Previous experience from working in complex and volatile contexts.
  • Previous experience working in the humanitarian sector.
  • Fluency in both English and Arabic, written and spoken is mandatory.
