Reports to: Senior Specialist, HR

Job Profile Summary

Provides various office services support for the assigned unit(s)/division in a country office. Performs basic processes and procedures to accomplish tasks and receives close supervision.

Provides various office services support for the assigned unit(s)/division in a country office. Performs basic processes and procedures to accomplish tasks and receives close supervision.

Accountabilities:

  • Assists with mail and freight services, both domestic and international, and general site operations support like : Photocopy, external guest attending and receive all incoming paper/documents.
  • Maintains cleanliness of the office environment.
  • Support Inhouse meeting and workshops.
  • Ensure tea and coffee to all staffs during office time as per instructions
  • Maintains supply Sign-up Logs.
  • Perform other related duties as assigned.
  • Provide office cleaning support at morning and evening
  • Provide support according to the staff requirement.

  • Identifies and recognizes problems that have established procedures and limited impact.
  • Refers non-standard questions and problems to higher level.
  • Errors can be easily and quickly detected within the immediate work unit and would result only minor disruption or expense to correct.

Supervision Given/Received:

  • Close supervision involving detailed instructions and frequent monitoring of work performance.
  • Contacts are primarily within immediate work unit. Contacts involve obtaining or providing information requiring little explanation or interpretation.

Education:

Secondary School Certificate/GED Diploma or International Equivalent.

Experience:

  • 2-4 years of related office administration experience.
  • Demonstrated experience with office administrative procedures, standards and equipment.
  • Read, write and speak English; fluent in host country language required.

Typical Physical Demands:

  • Typical office environment.
  • Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.
  • Ability to sit and stand for extended periods of time.
  • Ability to lift/move up to 5 lbs.

Photocopy machine, and cell phone/mobile technology, and standard office equipment.

Travel Requirements: Less than 10%
