This is a hybrid position which requires 8 days per month in the office. You can be based in our office in Washington DC Office. Existing work authorization is required at the time of application submission as WRI is unable to sponsor any visa work sponsorship for this position. To be eligible for this position, you must be a resident of DC, Maryland or Virginia at the start of employment.

Job Highlight:

 

Reporting to the Senior Manager for Development Operations, you will provide highlevel administrative support to the Executive Vice President for Governance & Development and support the Global Development Directorate’s communications and institutional engagement efforts. You will directly support the EVP as they advance department priorities. You will ensure the EVP can focus on strategic decisionmaking and business activities to achieve ambitious fundraising goals. Your daily work will include administrative and operational tasks, including email and calendar management, assisting with global travel, scheduling, logistics, and reporting. You will be a key player in project management, tracking shortand longerterm priorities, deadlines, and requests. You will support the preparation of materials used for internal and external meetings, events and site visits. You will anticipate the EVP’s needs as well as adapt and respond thoughtfully to emerging issues and new priorities. You will also provide general administrative support to the Global Development Directorate and support the Directorate’s communications and institutional engagement efforts. You will be supported by the Core Development Team.

 

What will you do:

 

Executive Administrative Support (75%):

 

  • Provide highlevel administrative support to the Executive Vice President for Governance and Development, including email support, calendar management scheduling and materials preparation
  • Support EVP priorities through highlevel writing, creating PowerPoint presentations, drafting talking points, conducting research and other tasks
  • Assist EVP with internal and external meetings, including preparation of meeting strategy and briefing documents, agendas, taking and transcribing meeting notes, intake on call reports and followup activities, videoconferencing and inperson venue needs
  • Manage EVP’s travel itineraries, including researching and booking flights, trains, rental cars, accommodations, ground transportation and other logistics
  • Manage expense reports and reimbursements. Track expenses and file reports in compliance with WRI policies
  • Support the management and maintenance of Constituent CRM records with activities, call reports, meeting notes, event attendance, and/or gift notes, including scanning and attaching all relevant documents to the constituent record

 

Development Directorate Support (15%):

 

  • Manage logistics, coordinate planning, develop agendas, and provide onsite support for Directorate meetings, events, and retreats
  • Provide Directorate administrative support including CMD library maintenance, internal resource document management
  • Support Directorate efforts to leverage WRI leadership travel for donor visits and highvisibility events, including monitoring and coordinating schedules, preparing visit itineraries, and coordinating background document preparation
  • Provide surge capacity for Special Projects and initiatives as needed
  • Contribute to project management in Asana

 

Internal and External Communications Support (10%):

 

  • Support coordination of Directorate efforts to promote WRI events, communications, and knowledge products for donor stewardship and cultivation opportunities
  • Support Directorate lists management efforts, including President’s List, suppression lists, and invitation lists
  • Coordinate team inputs and develop content for internal communications vehicles, such as the WRInsider (WRI’s internal newsletteand Dev Dispatch

 

What will you need:

 

  • Education: You have completed a bachelor’s degree in a related field; relevant work experience in lieu of degree is accepted
  • Experience: You have a minimum of 3 years of relevant experience preferably providing executivelevel support, as a project manager, administrative lead, research assistant or similar
  • Experience at a global organization and/or in a fundraising department
  • Experience with complex calendar management and coordinating multiple projects through a project life cycle
  • Experience with communications, including strong planning, professional writing, and presentation skills
  • Ability to establish processes, systems and workflows, and ensure adherence to procedures and followup
  • Experience with and knowledge of Microsoft Office 365, Asana, and with a CRM database
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality
  • Languages: You have verbal and written proficiency in English
  • Requirements: Existing work authorization is required where this position is based. WRI is unable to authorize visa work authorization

 

Potential Salary: US salary range is between 69,000 and 73,000

USD. Salary is commensurate with experience and other compensable factors.
