The IFC Pakistan Country Management Unit (CMU) is dedicated to promoting private sector growth and economic development in Pakistan through investments and advisory services, fostering entrepreneurship, creating jobs, and helping address the country’s development challenges. Working in collaboration with local businesses, government, and other development partners, IFC aims to support sustainable and inclusive economic progress that is aligned with Pakistan’s national priorities.
IFC is seeking to recruit a dynamic, well-organized, and suitably qualified candidate to fill the post of Team Assistant based in Karachi, Pakistan. The candidate will report to the IFC Country Manager and work under the supervision of the Principal Country Officer (PCO) and Administrative and Client Support (ACS) Coordinator. The candidate will provide administrative and operational support to the CMU and Industry teams and manage the day-to-day administrative matters of the Karachi office.
Duties will include, but are not limited to the following:
Roles and Responsibilities
• Provide a full range of administrative support to the Principal Country Officer, including scheduling meetings, calendar management, managing travel arrangements, preparing routine correspondence, assisting with preparing, editing, and distributing reports and documents, and receiving/distributing shipments and mail.
• Maintain an up-to-date database of Government Officials, Donors, UN agencies, Non-Governmental Organizations, vendors, and other institutions and persons regularly associated with the work of IFC in Pakistan.
• Manage office administration, ensure smooth workflow, and manage maintenance and repair work.
• Coordinate with the finance department for accurate billing and accounting procedures; handle petty cash management for the Karachi office.
• Coordinate and manage facility management vendors, including cleaning, catering, and security services.
• Assist in preparation and logistical planning for events, e.g., conferences, workshops, negotiations.
• Uses word processing, shared drives, and desktop publishing skills to produce text, reports, figures, graphs, etc., according to standard WBG format.
• Maintain current distribution lists and phone/address lists of project/client contacts and distribute documents for the industry teams.
• Receive/dispatch diplomatic pouch, keeping proper records. Monitor pouch request form entries and make and submit monthly pouch reports to the Administration Unit.
• Take on different office support functions, support office management, and serve as a backup to other ACS staff on project and administrative tasks when needed.
• Undertake ad hoc inquiries requested by the CMU, Industry teams, and or regional offices.
