JOB DESCRIPTION

Organizational Setting

The Regional Office for RLC is responsible for leading FAO’s response to regional priorities for food security, agriculture and rural development through the identification, planning and implementation of FAO’s priority activities in the region. It ensures a multidisciplinary approach to programmes, identifies priority areas of action for the Organization in the Region and, in collaboration with departments and divisions at Headquarters, develops, promotes and oversees FAO’s strategic response to regional priorities. RLC also advises on the incorporation of regional priorities into the Organization’s Programme of Work and Budget implements approved programmes and projects in the region, monitors the level of programme implementation and draws attention to problems and deficiencies. RLC develops and maintains relations with region-wide institutions including the Regional Economic Integration Organizations (REIOs). The Regional Office supports regional policy dialogue on food security, agriculture and rural development issues, facilitates the emergence of regional partnerships, and supports capacity development and resource mobilization for food security, agriculture and rural development in the region.

This position is located in the Regional Office for Latin America and the Caribbean (RLC) in Santiago, Chile.

Reporting Lines

The Harmonious Workplace – Wellbeing and HR Support reports to the Human Resources Assistant/Associate and collaborates with other staff.

Tasks and responsibilities

The Wellbeing and HR Support will perform the following tasks:

Harmonious Environment/Wellbeing: 

•    Assist the HR Associate in the E2S (Employee Satisfaction Survey) Response Taskforce with the coordination and follow-up of the Regional and Country Action Plans.
•    Assist the HR Associate with organizing Regional Wellbeing Network meetings at local and regional levels.
•    Assist the HR Associate with creating and managing a database of the proposed awardees of ERA (Employee Recognition Award).
•    Assist the HR Associate with the Planning and Coordination of all wellbeing activities in RLC for 2025.

Staff Servicing:

•    Back up for clear checks for the recruitment of national staff and operational tasks as coordination of written tests, selection panels and interviews
•    Responsible for the edition and update of the Welcome Guide and Newcomer Guide, submission to newcomers (virtual).
•    Staff Onboarding: Organizing individual onboarding sessions, analyzing satisfaction surveys of onboarding sessions, and updating the HR briefing presentation.

Interagency:

•    Search for new training/talks on United Nations Disability Inclusion Strategy (UNDIS) matters and assist the UNDIS Project in RLC, collect information and quotations for courses and training.
•    Liaise with medical services and external vendors for health and mental health activities, fairs, and campaigns, as well as with the staff counselor and respectful workplace facilitators for interventions and information sessions to improve the work environment. Liaise with relevant areas and other UN Agencies to disseminate and implement such initiatives.

Administrative Tasks: 

•    Assist in the control of the HR Unit budget, including administrative tasks.
•    Assist in creating Travel Authorizations for HR unit missions, when needed.
•    Prepare drafts of emails and/or letters, and/or translations according to instructions received, upon request.
•    Assist in routine actions on HR matters.
•    Other duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements    

•    High school diploma
•    At least one (1) year of relevant experience in human resources support work
•    Working knowledge (full proficiency – level C) of Spanish and Intermediate knowledge (intermediate proficiency – level B) of English
•    National of Chile or legal resident with a work permit.

Technical/Functional Skills 

•    Desirable Technical Diploma or University studies in human resources, translation, interpretation, bilingual secretarial, psychology, education, or related area
•    Extent and relevance of experience in planning and implementing wellbeing and team integration activities
•    Extent and relevance of experience in recruitment and onboarding processes
•    Familiarity with MS Outlook and collaboration tools using Microsoft Teams platforms, MS Excel and Canva
•    Very good knowledge of corporate computerized travel/human resources systems and administrative procedures and policies.
•    Desirable experience in human resources in the United Nations, including corporate policies, rules and procedures
•    Desirable limited knowledge (Intermediate – Level B) of French
•    Working knowledge (full proficiency – level C) of English is an asset.
•    Ability to work with little supervision.
