Duties and Responsibilities
The United Nations Environment Programme (UNEP) is the United Nations systems designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. The overall objective of the UNEP’s Climate Change Division (CCD) is to support countries to increasingly transition to low-emission economic development pathways and enhance their adaptation and resilience to climate change. These posts are located in UNEP/CCD at the Paris duty station. The individual contractors under the Programme Management and Administration Unit will provide necessary support to COP30, working with the administrative team to ensure processes involving: procurement of accommodation, UNEP pavilion, furniture and travel is carried out in a timely manner and in line with UN regulations and rules. Tasks will include travel/event management support, focal point for COP30and assisting the communication manager as needed. • Objectives: Each month the individual contractors will: – Assist with coordination and organization of COP30. – Assist with travel/event management meetings, including travel planning and travel request processing for COP30 participants, plus venue and logistics arrangements. – Provide support in finance and budget, including bank details and other records. – Ensure administrative reporting and filing systems are up to date. – Provide support to meetings held in person and/or on virtual platforms. – Provide support in monitoring and tracking administrative documents, including the receipt and accuracy of approvals and signatures to ensure compliance. – Assist the Communications Officer with any requests. – Perform other duties as assigned. • Output expectations: – Ensure timely execution of periodic tasks. – Thoroughly proofread all documents to prevent errors. – Promptly close travel requests and update bank details to maintain efficient operations. – Maintain accurate and up-to-date reports and data records to support project management and decision-making. • Performance indicators: The performance will be measured through analyzing the quality of documents produced and the respect of deadlines. Specific tasks and responsibilities • Preparing all paperwork for COP30. • Assist with travel/event management for COP30, including travel planning and travel request processing for all participants, plus venue and logistics arrangements • Assist in supporting participants with logistics. • Acts as focal point in Nairobi for all COP30 logistics. The individual Contractors will report to the Administrative Officer – Amanda Lees.
Qualifications/special skills
• Academic: Completion of High School Diploma is required, Bachelor’s degree in the areas of project management or communication is desirable. • Professional Experience: A minimum of two years of responsible experience in the field of project management and communication. Experience with word processing, spreadsheets and/or communication software is required. Experience using collaborative remote meeting platforms and/or software is desirable. • Administration of projects, travel/event management support. • Excellent computer skills using Excel, MS Office Suite and knowledge of ERP systems required. • Client orientation. • Interest in environment and/or climate change issues is an asset. • Excellent communication skills are required. • Excellent organizational skills and high level of attention to detail. • Proven ability to work as part of a team in a fast-paced environment.
Languages
Be fluent in written and spoken English. Knowledge of another UN language is an advantage.
