Introduction

Are you a flexible, well-organized team player? Do you have experience in financial administrative support? We are looking for a motivated person with good software package skills and attention to detail to join our Business Analysis Section.

The Section ensures the short term and long term financial resource planning of the Organization, prepares Financial Documents for the Organisation Governing Bodies, ensures internal budget allocations and controlling, and provides support to Management for decisions.

Functions

As a Financial administrative assistant, you will:

  • Maintain financial master data in the financial IT tools (FIN-MDM, Qualiac).
  • Maintain expenses plan and budgets in the planning IT tools (APT, Qualiac).
  • Ensure periodical reconciliation of budget figures between different tools (APT, Excel).
  • Follow-up the Section mailbox and selected administrative processes.
  • Support the team in preparation of official documents for the Council: rearranging, formatting and proof-reading of text (alternately with another RPC-BA team member).
  • Prepare the annual document preparation calendar and support organisation of meetings with departmental planning officers (up to 5 events per year).
  • Prepare standard statistical data for internal and external annual reporting.
  • Support the team with ad-hoc analyses, data preparation, budget transfers and administrative tasks.

Qualifications

Higher administrative diploma or equivalent relevant experience in the field of finance and/or administration or a related field. Those with Master’s level or above will not be considered for this position.

Experience:

  • Demonstrated experience in providing administrative support in a multicultural environment.
  • Experience with MS Office tools in general; mastering advanced Excel features would be a plus.
  • Experience in using financial and administrative software packages would be an advantage, especially CERN internal tools (CET, APT, HRT, etc.).

Technical competencies:

  • Use of office software packages: specifically MS office, advanced Excel would be an advantage.
  • Financial reporting and analysis.
  • Customer service.

Language skills:

  • English spoken and written, with the ability to create reports, and make presentations.
  • The ability to understand and speak French or an undertaking to acquire it.
